About Course
Summary
Smart Office Implementation is for the people responsible for actually deploying AI capability across an office or organisation: choosing tools, integrating them with existing systems, and running a rollout that staff adopt rather than route around. It applies the buy, adapt or build thinking and the pilot-and-roadmap method from AI Foundations directly to office-wide implementation.
Who Should Attend
- IT leads responsible for evaluating and integrating AI tools
- Office, operations and administration managers responsible for procurement and rollout
- Facilities and shared-services directors planning organisation-wide deployment
Course Description
The course begins with the buy, adapt or build decision, applied specifically to office systems: when a configured off-the-shelf product covers the need, when grounding an existing model on your own documents is the right move, and when custom development is actually justified which is rarer than most implementation plans assume.
From there it moves to integration: connecting AI capability to the document management, email and scheduling systems already in use, and the security and access questions that come with a shared, organisation-wide deployment rather than one person’s personal use of a tool.
The second half of the day is about people, not systems. A tool that is installed but not adopted has changed nothing, so the course covers building a rollout plan that protects staff time to learn, finds and supports a visible early adopter, and sets up a support and review model so the deployment keeps working after go-live rather than quietly degrading.
Duration and Format
- Length: One full day, a mix of conceptual grounding and applied planning work
- Format: Instructor-led. Participants build a real implementation plan during the session
Pre-Requisite
Participants should:
- Have completed AI Foundations; Intelligent Office Workflows is recommended but not required
- Come with a rough sense of which office process or tool is a candidate for wider rollout in their organisation
Course Outline
01: Choosing your tool stack
02: Integrating with what you already run
03: Security, access and data handling for a shared deployment
04: Rolling out to staff
05: Support and review
What You Will Be Able to Do
- Choose between buying, adapting or building for a given office implementation need
- Plan integration between AI capability and existing office systems
- Apply security, access and classification principles at organisation scale
- Design a staff rollout likely to achieve real adoption, not just installation
- Set up a support and review model that keeps a deployment working after go-live
You Leave With
- A draft implementation plan for one real tool or workflow rollout
- An integration checklist for existing office systems
- A staff rollout and support plan template
